Orientation configuration determines what workers see, sign, and receive when completing online enrollment.
These settings shape the end-to-end experience – from the content they read, to the declarations they sign, to the communications and branding that accompany it.
Company, Region, and Project Admins can each define elements of the orientation flow, ensuring consistent compliance messaging across all projects.
Medical Checklist
The Medical Checklist captures health declarations during enrollment and appears before the orientation test.
Only users with Confidential Data access can view completed responses.
- Go to Administration > Medical Checklists.
- Click + to add questions (workers answer Yes/No).
- If Yes is selected, a details field appears for additional information.
- To delete a question, use the red Bin icon and type the confirmation phrase.
Tip: Keep medical questions focused on work-relevant conditions to meet privacy obligations.
Define Sign-Off and JHA Acknowledgements
Both sign-off texts display when a worker completes orientation or is assigned to a JHA.
If left blank, the system uses the default acknowledgement message.
Orientation Sign-Off Text
- Go to Administration > Orientation Sign Off Text.
- Enter or update the acknowledgement wording.
- Click Save Changes.
JHA Sign-Off Text
- Go to Administration > JHA Sign Off Text.
- Enter the declaration text to appear when workers are assigned to JHA during orientation or later in the project.
- Click Save Changes.
Note: The JHA Sign-Off Text appears alongside the orientation sign-off if both are configured.
Manage Orientation Validity and Re-Orientations
Set how long company-level Orientations remain valid before a re-orientation is required.
- Go to Administration > Company Orientation Time Frame.
- Select the period (Days, Weeks, Months, or Years).
- Click Save Changes.
When an orientation expires, a warning displays in the worker’s profile under Project Specific Details.
Expired workers cannot sign in until they complete the updated orientation.
Configure Communication (Welcome Email)
The Welcome Email is automatically sent to each Primary Contact when they are added to a project.
It welcomes them, outlines how to begin orienting personnel, and requests JHA or safety-plan submissions.
Attachments you add here are included with every Welcome Email.
Note: To change the body or formatting of the email, contact HammerTech Support. Regions can maintain their own Welcome Email templates if regional customisation is enabled.
Add or Update Attachments
- Go to Administration > Welcome Email Attachments.
- Click Choose File and select the document. Use clear, recognisable filenames.
- Click the green Upload icon.
- Uploaded files are now attached to all future Welcome Emails.
Company Logo
The company logo appears on public project pages, orientation screens, and all exported PDFs.
- Go to Administration > Company Logo.
- Upload a PNG (preferably transparent) or JPEG file.
- Click Upload to confirm.
Best results: use a transparent PNG with a width of at least 300 pixels.
