Updating User Email Domains in Bulk
Changing user email addresses to reflect a new domain is not a standard feature in HammerTech.
However, we understand there may be situations where this is required. This guide outlines what to expect and how to prepare for a smooth transition.
What to Expect
Updating email domains in bulk can impact user access and system behaviour. The most common outcomes include:
1. Dashboard Access May Need to Be Restored
- Users may lose access to Insights custom dashboards.
- This includes dashboard owners.
- Access can be reconfigured after the update.
2. Duplicate User Profiles May Occur
- If users already exist under both old and new domains, duplicates may be created.
- This can lead to:
- Login difficulties
- Missing roles or permissions
- Inconsistent access to data
3. Emails May Revert if Not Fully Updated
- If only part of the user record is updated:
- The system may revert the email to the previous domain.
- To avoid this, all related records should be updated together.
Recommended Approach
To minimise disruption, we recommend:
- Updating all related records
- Ensure both user and worker profiles are updated together.
- Reviewing existing users
- Check for accounts that may already exist under the new domain.
- Planning for follow-up updates
- Some user access (e.g. dashboards) may need to be restored after the change.
